Privacy policy

Effective September 2026

Coastal Grove Construction Ltd. (“Coastal Grove”, “we”) respects your privacy. This policy explains what personal information we collect, why, and how we protect it, in line with British Columbia’s Personal Information Protection Act (PIPA).

What we collect

Your name, phone number, email and mailing address; the address and details of your property and project; photos, drawings and documents you share or that we take while working on your property; payment and invoicing details; and, if you book a maintenance service, access information such as keys or entry codes and your contact preferences while you are away.

Why we collect it

To respond to your enquiry, prepare quotes, plan and carry out work, meet permit, warranty, insurance and safety requirements, invoice you, keep project records, and follow up on our work. We collect only what we need for these purposes.

Consent

By contacting us or engaging our services, you consent to this use. You may withdraw consent at any time, subject to legal or contractual limits; withdrawing may mean we can’t continue a service.

Who we share it with

Only with those who need it to deliver your project: our trades and subcontractors, suppliers, designers and engineers, permitting authorities, BC Housing and our home warranty provider for new homes, our insurers, and service providers who host our email, website, forms and accounting systems. We require them to protect it. We may also disclose information where the law requires. We do not sell your information.

Website and forms

When you use our website, we collect what you enter into our forms. We may use privacy-respecting analytics to understand site traffic in aggregate. Our website host and form provider may store submissions on servers outside Canada.

Keys and access codes

Keys are coded and never labelled with your address. Access codes are stored in a restricted record available only to staff who need them, and are deleted when our service ends.

How long we keep it

As long as needed for the purposes above and to meet legal, tax and warranty requirements (for new homes, at least the length of the 10-year warranty). We then securely destroy it.

Safeguards

We protect personal information with password-protected systems, multi-factor authentication where available, restricted access, and secure storage of paper records.

Your rights

You can ask to see the personal information we hold about you and ask us to correct it. We will respond within 30 days.
